Automate with Zapier

Connect Takibi to thousands of apps through Zapier (private beta): file documents, manage tasks, and ask your collections.

Connect during the private beta

The Zapier integration is in private beta. Open takibibase.com/zapier to accept the invite, then create a Zap and choose Takibi Base as an app. When Zapier asks for a connection, paste a Profile key (tk_live_...). The connection test lists the collections that key can see.

Mint the key under Profiles and give it only the capabilities the Zap uses: tasks and task:create for task steps, notes:append for notes, documents:ingest for uploads, ask and search for questions. See API authentication for the key format.

React to new documents and tasks

Two polling triggers start a Zap when something new lands in a collection you pick from the dropdown:

Zapier triggers
TriggerMeaning
New DocumentRuns for each newly indexed document in the collection.
New TaskRuns for each new card on the collection board.

Polling checks on Zapier's schedule, minutes apart — not instantly. Each item runs once, keyed by its id.

File, note, and ask from a Zap

Three actions write to Takibi, and one search reads from it:

Zapier actions
StepMeaning
Create TaskOpens a card on the collection board with a title, context, and optional due date.
Append NoteLeaves a lesson in the Profile notebook: the problem, what was tried, and a project tag.
Upload DocumentFiles one document as pasted text or base64 bytes, into the collection and optional folder you pick.
Ask TakibiAsks one question in a collection and returns one result per grounded passage, with citations and a support score.

Uploads accept exactly one content shape per call — text or base64, never both. A duplicate file resolves to the existing document instead of filing twice.
